Thank you for your interest in the 2018 weekend of Pilgrimage! As an adult leader, you are investing in the lives of the youth in attendance at Pilgrimage. In addition, there is a significant responsibility. Please see the information below that highlights information necessary to the 2018 weekend of the event. Further, please read the information in full as there are regular changes between each annual event.

- Refund Information
- Refunds for the 2018 weekend will not be issued after October 31, 2018. Therefore, refunds will not be issued onsite. In order to receive a refund for less than your registered number of attendees, please reach out to Ani Simpkins here by October 31, 2018.
- Devotionals
- We invite all attendees, both youth and adult, to take intentional time as a group throughout the Pilgrimage weekend to pray, reflect upon and discuss what is heard and experienced during the event. Devotional materials can be found here.
- Handicap and Special Needs Registration
- Groups with physical limitations, to include wheelchairs and crutches, that require special seating onsite should reach out to Ani Simpkins here by November 1, 2018 to request reserved group seating.
- Limited handicap parking is available in the North VIP parking lot of the venue and will be provided on a first-come, first-served basis and can be requested alongside reserved seating requests. If parking is unavailable, it is encouraged that buses/vehicles pull up to the North Entrance to drop off attendees with physical limitations and then park in General Parking.
- Pilgrimage Entrance, Parking and Other Events at the Venue
- Pilgrimage is not the only event occurring at the full Crown Complex venue during the 2nd weekend of November. However, it is the only event occupying the Crown Coliseum complex. Pilgrimage attendees are prohibited from entering and accessing spaces that are not being occupied by the Pilgrimage event. It is also necessary that all Pilgrimage attendees enter and exit through the North Entrance to the venue. Further, General Parking for the event is in the North Parking Lot adjacent to the North Entrance to the venue. The parking pass for the event can be accessed below.
- Check-In and On-Site Registration
- Group Check-In begins on Friday, November 9, 2018 at 6:00 p.m. at the registration table in the lobby of the North Entrance. It is asked that one adult leader enters the lobby to check-in members of a group and to gather lanyards and name tags. All youth, with additional leaders, are asked to wait outside.
- Each name tag has a space for a youth to write their name. Please bring your own markers to write names on name tags. It is required that all attendees wear their name tags at all times while onsite at the venue. There is a $5 replacement fee for each lost name tag.
- Saturday Morning Check-In takes place from 8:30 a.m. to 10:00 a.m. in the lobby of the North Entrance. Similarly to the Friday evening check-in, one adult leader should enter to receive all event materials. If a group checks-in on Friday evening and more attendees are expected to arrive on Saturday morning, please plan to receive event materials for all attendees on Friday.
- Every attendee is expected to pay a registration fee to receive a lanyard and name tag. Anyone wishing to visit the event, even for 1 session, must pay the registration fee. The cost of attending the event can be found here.
- Schedule
- The schedule for the 3-day Pilgrimage weekend can be found here.
- Saturday Communion Servers Meeting
- Members of the Sunday morning communion serving team will meet following the Saturday morning session. Nearly 100 adult and youth servers are needed to assist in the Communion Service on Sunday. All members of the Conference Youth Committee, Conference Council on Youth Ministries, Youth Resolutions Committee, Youth Communications Committee, District Youth Coordinators and Youth Service Fund Task Force serve on the communion serving team. Adult leaders are asked to coordinate with any youth serving on the team so that they can attend the meeting. The meeting will last approximately 30 minutes.
- Communication with Pilgrimage Leadership
- Updates and announcements will be shared from the Leadership Team throughout the weekend. All adult leaders are strongly encouraged to sign up for Pilgrimage 2018 SMS notifications here.
- Throughout the weekend, members of the Leadership Team will be positioned at the Registration Table located in the lobby of the North Entrance of the venue.
- Saturday Afternoon Options
- The only event operated by the Pilgrimage Ministry on Saturday afternoon is Rise Against Hunger. However, other Saturday Afternoon programming options can be found here.
- Sunday Banner Processional
- The Sunday morning banner processional is a long-standing tradition that opens the Sunday morning worship service. Groups are invite to make a banner to share in the tradition.
- In producing your banner, it is strongly encouraged that you follow the guidelines found here. The guidelines are strategically designed to ease the process of participating in the processional. Oversized banners are very challenging to navigate, on behalf of the youth, and pose a safety concern.
- Each group is allowed 2 youth to carry the banner in the processional. Due to security and space issues, no more than 2 youth per group are permitted to participate.
- The 2 youth to carry the banner should enter the venue at the North Entrance at 8:15 a.m at the door marked with “banner entrance.” All banners must be assembled prior to entering the coliseum. From there, staff will escort the youth to the staging area.
- Following the processional, all banners should be placed on the concourse and the 2 youth that participated should meet their group. Adult leaders, please make sure that the youth participating in the processional are aware of where the group will be seated.
- Items for Sale
- There are multiple opportunities for youth to purchase items onsite. In addition to items sold by the Youth Service Fund, vendors on the concourse will have items for sale.
- Concessions will be sold by the venue on Friday and Saturday. Popcorn, soft drinks and candy will be sold – no hot food will be available for sale. As fore-mentioned, the Pilgrimage Ministry does not provide concession sales and all food items are sold by the venue. Expect prices to be representative of a large-venue’s prices.
- Security
- Security is the primary concern of the Pilgrimage Ministry Team during the weekend.
- All attendees must wear their Pilgrimage lanyard and name tag at all times. In order to gain access to the venue, security officers will confirm that a lanyard and name tag is visible. Further, all bags entering the facility will be inspected by venue security. A full list of non-permitted items can be found here; these items are declared non-permitted by the venue and will not be allowed into the coliseum.
- All valuables should be given appropriate recognition. The venue, The Pilgrimage Ministry, The NCC Youth Ministry and the North Carolina Conference are not responsible for any lost or stolen items.
- Adult Supervision and Safe Sanctuary
- Pilgrimage 2018 is a Safe Sanctuary event. More information on the requirements of Safe Sanctuary can be found here.
- Covenant of Conduct
- The Covenant of Conduct for the event can be found here. All attendees, both youth and adult, are expected to uphold the covenant.
- Youth Group Bingo
- The bingo tradition of Pilgrimage continues with the 2018 weekend!
- Bingo cards can be downloaded here. No printed sheets will be available; all youth that have an interest in participating should provide their own card.
- Game rules: no signatures from the same group can be repeated, signatures may be obtained on Friday evening and Saturday morning, signatures can only be obtained during fellowship times and not during worship.
- Each bingo sheet should be turned into the Registration Table by 12:30 p.m. on Saturday.
